We are seeking a highly organized and professional Administrative Assistant to serve as the first point of contact for visitors, calls, and inquiries, providing friendly and efficient service both in person and over the phone. This role provides essential day-to-day administrative support across the organization, including managing correspondence, files, and office systems; coordinating meetings, travel, events, and logistics such as Board meetings and the AGM; and ensuring the office remains clean, well-stocked, and efficiently organized. The Administrative Assistant will also support the Executive Director, assist with internal communications, contribute to cross-functional team needs, and help with HR activities such as interview scheduling, onboarding, and staff coordination. Additional responsibilities include ordering and managing supplies and hospitality items for meetings, supporting educational orders, and contributing to projects and initiatives through research, proofreading, document preparation, and website updates.
Requirements include:
- Post-secondary education in a related field (or equivalent level of experience)
- Administrative and customer service experience
- Demonstrated organizational and time management skills
- Excellent verbal communication skills with the ability to communicate clearly and professionally with the public and staff over the phone and in person
- Excellent written communication skills with the ability to prepare, edit and format correspondence with a high degree of accuracy and attention to detail
- Positive can-do attitude and team spirit!
Considerations Include:
- Entry level position
- Valid driver’s license and access to a vehicle required
- Bilingualism (English/French) is an asset

This position offers a salary range of $51,500 - $56,650, depending on experience and qualifications.
