This Privacy Policy was last updated February 20, 2025.

The Canadian Centre for Child Protection Inc. (“C3P”, “we”, “our”) may update this C3P Privacy Policy from time to time to reflect, for example, changes to our practices or for other operational, legal, or regulatory reasons.

The C3P Privacy Policy applies generally to C3P’s programs, initiatives and websites. C3P also has additional privacy policies specific to certain programs and initiatives such as Project Arachnid and Cybertip!ca. If you want to learn about C3P’s privacy practices for such programs, please refer to the program-specific privacy policies which can be found on each program’s website. This C3P Privacy Policy complements but does not take precedence over the program-specific privacy policies. If there is a conflict between a program-specific policy and this C3P Privacy Policy, the program-specific policy shall prevail in connection with Personal Information processed in the context of that program.

What is Personal Information?

You may not realize it, but whenever you use any website or service, you may be sharing Personal Information. Personal Information is any information about you that could be used to identify you – things like your name, address, and email address. It can also be details about where you go to school, what you look like or a situation you are in.

What happens when you contact us for help?

We have services to help children, families and those who work with or to improve the lives of children. They often contact us with problems about child sexual abuse, including sexual pictures, videos and messages. You are welcome to contact us on our websites, by email or by phone. If you do that, you will be sharing information about yourself. We will use this information to assist you.

We won’t share your information with anyone unless you are ok with this, or we are allowed to share it (for example if the law says it is ok). If there is a situation that may mean a child is in need of protection, we might be required by law to contact the police or other agencies.

We may group information that doesn’t identify you to do research and create statistics. To do this, we sometimes work with experts who we trust and who are obligated by contract to protect the information.

What happens when you just visit our websites?

The device you use to go on our websites will send technical information to our systems. It won’t tell us who you are but it tells us, for example, what web browser you are using and your IP address. We use this to make the website available to you in a way your device understands. The information also helps us understand how visitors use our websites. For example, what pages do visitors go on the most? What links do they click on? It helps us understand what works well and what doesn’t work when visitors go on our websites. We can then figure out ways to improve our websites.

We protect your Personal Information

We protect your Personal Information using technological measures, like encryption. We also use other measures like contracts or rules that our employees must follow. We work hard to protect the Personal Information you give to us.

1. ABOUT PRIVACY

Personal Information

“Personal Information” is information about an identifiable individual. Examples include name, address, email address, and details about a situation an individual is going through.

Privacy Laws

We adhere to Canadian private-sector privacy laws, including the federal Personal Information Protection and Electronic Documents Act1 (“PIPEDA”), when and as they apply to C3P’s activities. Where the laws don’t apply, C3P believes that maintaining the privacy of Personal Information is still of the utmost importance and accordingly it adheres to the spirit of PIPEDA.

2. WHO WE ARE

C3P is a registered Canadian charity dedicated to the personal safety of all children. The goal of C3P is to reduce child victimization by providing Canadian-based programs and services to the children, families and those who work with children. 3. OUR WEBSITES

Collection and Use

Registration and Payment

On our websites you can order materials and register for training, events, newsletters, etc. We’ll collect what’s needed to process your purchases, registrations and requests which is usually limited to your contact information and credit card or payment information (where payment is required). Depending on what you are seeking to purchase or register for, we will sometimes also ask for additional information like your profession and the organization with which you work or are associated.

Account Creation

You may be asked to create an account to access certain resources, activities or other content. We generally only require an email address to register and later identify your account, grant you access and communicate with you. Depending on the content you wish to access, we may also ask for your name, address, organization and other Personal Information to assess if you are entitled to access such content.

Contact C3P

You can send us questions, comments and feedback electronically via email or other forms. We’ll use the Personal Information you provide to process your inquiry and respond to you. We’ll also use this to determine how we can improve our programs and initiatives.

Metadata

Your device and browser sends information to our systems when you visit our websites. We’ll collect IP address, browser version and other similar information. We use this to operate our systems and better understand our audience in terms of geography and domain.

Cookies

A cookie is a small piece of information that a website assigns to your device to enable functionalities or remember certain things about your device configuration or your use of a site. We limit our use of cookies to session cookies (i.e. your visit at a particular day and time) and don’t use them for advertising. We use them for security and network management. We use them to operate parts of our websites, like the shopping cart when you purchase items. We use them to help us understand how visitors use our websites, like which pages are viewed or which links are most clicked on, and to improve our websites. This information is collected in a way that does not directly identify anyone. C3P does not use third-party cookies on any of its websites.

Disclosure

We don’t disclose Personal Information we collect from website visitors to third parties, except when you consent or when permitted or required by law (for example, when we are subject to a valid subpoena or warrant, we reasonably believe a child is in need of protection or when required to protect our data or systems).

4. OUR PROGRAMS and INITIATIVES

Collection and Use

Generally, we collect Personal Information you provide when you engage with us, through our various programs and initiatives. This could be by telephone, in person, by mail or electronically via our websites or email.

Support Services

We have services in place that allow individuals impacted by online sexual victimization, child sexual abuse or a missing child to obtain support. Children, youth, families and others contact us for help and information. If you contact us, we will use your contact information to communicate with you. You may be asked or required to provide us with your name, address, age and details about the situation you are going through, or subject-matter you want information about. We will use your Personal Information for the purpose of assisting you.

In-person and Online Activities

We hold online and in-person events, live and pre-recorded training and other activities on various subject-matters. If you participate, we will collect your Personal Information to process your registration. We generally ask for participants’ name and email. Depending on the activity, we will sometimes also ask for other information like your profession or the organization with which you work or are associated. We may collect your contact and payment information when a purchase is required. We could also gather comments, feedback or answers to a survey from participants. We will use this to inform our programs and initiatives. We may also send newsletters by email to those who subscribe to such newsletters.

Research

C3P conducts research to raise awareness on issues as they pertain to child protection and to support its programs, initiatives and mandate. If you participate in our research activities, for example by answering a survey, we will use your Personal Information for our research and treat it confidentially and consistent with any consents included in the survey. We may also use Personal Information collected via our programs and initiatives and information found on the Internet or open-source data for research purposes.

De-identification

We may de-identify your Personal Information and aggregate it for research or statistical purposes, for example to identify and better understand potential areas of concern for child protection or other related trends.

Disclosure

If you contact us for support, we may ask whether you’d like us to share information about your situation with a third party for assistance. We have established safe procedures to share information with trusted third parties and law enforcement authorities.

Sometimes, we may decide to contact the police, emergency services, child welfare agencies or others we have good reason to believe can help. This may be in situations we believe an emergency threatens someone’s life, health or security. We may also be permitted or required to share Personal Information by law, for example because of an exigent circumstance, a valid and enforceable subpoena or warrant, or because a child is in need of protection.

We may collaborate with experts in certain fields and other specialized entities in the context of research or statistical activities. We use contractual and technical safeguards to protect all data, including any Personal Information and de-identified Personal Information, shared with third parties in this context. Regardless of who conducts the research, any research results will be presented in the aggregate and not include Personal Information.

Our program-specific privacy policies (such as our Project Arachnid and Cybertip.ca Privacy Policies) will explain how C3P may share Personal Information specifically in the context of these programs. You can find the policies on each program’s website.

What we don’t do

We don’t sell your Personal Information to third parties. We don’t use your Personal Information in ways you wouldn’t expect or that are not consistent with why we have your Personal Information.

5. OUR DONORS

Collection and Use

We value your generosity and strive to protect your privacy. We do not engage in direct marketing (e.g., phone solicitation, door-to-door sales, etc.). We use your contact information and payment information to process your donation and issue a receipt. We ask donors to tell us the reason for their donation (this is optional). This helps us understand what motivates people to give to C3P. We give donors the option of sending a card in memory or honour of someone. If you choose this option, we will collect the recipient’s contact information and your message for the card.

Please note that we do not authorize or endorse fundraising by third parties on our behalf, except in very limited circumstances and with established organizations. If we have not directly endorsed a third-party fundraising event or campaign on our own website or social media channels, you can assume it is not authorized by our organization.

Disclosure

We do not rent, trade or sell our donor names, mailing addresses or email addresses to anyone, including commercial enterprises or other charitable organizations.

Privacy laws generally require that organizations obtain your consent before collecting, using and disclosing your Personal Information. We obtain your consent as and when required. The ways in which we do that include providing you with information under this privacy policy, having checkboxes on our websites, asking you to sign a form or indicating that the provision of certain Personal Information is “optional” (please note that not providing Personal Information may affect the level of assistance we can provide you or your overall user experience online. For example, we may not be able to recommend age-specific resources, contact you to provide appropriate supports or enable all website functionalities).

7. PROTECTION and RETENTION

We have security safeguards in place designed to protect Personal Information against loss, theft, and unauthorized access, disclosure, use or modification. We use measures that are appropriate to the sensitivity of the Personal Information. They include technological, organizational, contractual and physical measures. For example, we use alarm systems, intrusion detection systems, firewalls and encryption. Also, only those employees who require Personal Information for business reasons are granted access to Personal Information. They include:

  • Employees working directly with the public (educational sales and service, Cybertip.ca analysts, and support services staff); and
  • Employees working on operational and corporate matters (IT, finance, legal services, etc.).

We keep Personal Information for as long as necessary to fulfill the purposes for which it’s been collected and comply with legal and regulatory requirements.

When your Personal Information is in an electronic format, we keep it on our C3P owned servers or on our service providers’ servers. Our servers are located in Manitoba, Canada. Our service providers’ servers may be located within or outside of Canada. If Personal Information resides outside of Canada, it becomes subject to the laws of the country where it is. Depending on the laws that apply, Personal Information could be accessed pursuant to legal processes in such country. Our service providers include:

  • Email, storage and cloud services
  • Translation services
  • Payroll services
  • Customer relation management
  • Online registration services

8. INDIVIDUALS OUTSIDE CANADA

C3P is based in Canada. Individuals who choose to provide information from any other regions of the world consent to the transfer of such information to Canada for storage and processing. Personal Information about non-Canadian residents will be processed in accordance with this C3P Privacy Policy.
